Simple Guide: Is Your Gearbox Running Out of Oil?

Broken gearboxes are expensive. Each breakdown costs about $87,000 on average. Almost half happen because machines don’t have enough oil.

Oil keeps your gearbox working smoothly. When it runs low, you need to add more right away or your machine will break down.

Here are 8 ways to tell if your gearbox needs more oil:

1. Weird Sounds

Your machine will start making sounds it didn’t make before:

  • Scraping or grinding
  • Squealing or screeching
  • Sharp clicking

This happens when metal parts rub together without oil between them. The sounds get worse over time.

2. Shaking

Machines with enough oil run steady. When oil gets low, your equipment starts shaking more than usual. You’ll feel this vibration spread through the whole machine.

3. Too Much Heat

Oil keeps things cool. Without enough oil, your gearbox gets hot fast.

Good temperature: 140-180°F Problem temperature: Over 200°F

4. Smells Bad or Oil Looks Wrong

New oil is golden and doesn’t smell. Old or burnt oil:

  • Turns dark or black
  • Smells like something burning
  • Means you need new oil right away

5. You Can See It’s Low

Check your oil level window or dipstick. Look around your machine for:

  • Oil puddles on the floor
  • Wet, oily spots
  • Drips

Check oil levels when your machine is warm and running normally.

6. Machine Works Poorly

When there’s not enough oil, your machine can’t do its job well:

  • Less power than normal
  • Gears slip under heavy loads
  • Overall performance drops

7. Low Pressure Warning

Some machines have oil pressure gauges. If the pressure drops below what the manual says is normal, you probably need more oil.

8. Metal Bits in the Oil

Take a sample of your oil and look at it. If you see tiny metal pieces, your machine parts are wearing out because there’s not enough oil protecting them.

Different metals mean different problems:

  • Iron pieces: gear teeth wearing down
  • Copper pieces: bearings going bad
  • Aluminum pieces: housing damage

What to Do

Check these things regularly. Catching low oil early saves you thousands of dollars in repairs. Add oil when levels drop, and replace old oil that looks dark or smells burnt.
